BUILDINGS, SAFETY ENGINEERING & ENVIRONMENTAL DEPARTMENT ADMINISTRATIVE ASSISTANT GRADE II ~ PROMOTIONAL OPPORTUNITY ~ Under general supervision, acts as an assistant to the head of a moderate sized department, or a major division of a large department. Plans, organizes, manages, administers, and supervises business operations and general administrative activities, or a specialized, diverse, and complex group of administrative activities. • Analyze departmental processes and operations to identify existing problems and possible improvements. • Evaluate the efficiency of existing procedures. • Determine the form, content, and frequency of activity reports. • Review activity reports, personnel transactions, and material requisition. • Review documents to ensure adherence to appropriate format. • Present exceptional cases to superiors and secure decisions. • Study assigned problems such as source of funds or major procedural problems and make reports and recommendations. • Outlineobjectives to be attained. • Schedule subordinates work assignments. • Obtain and make estimates of personnel, material, and time. • Determine material and time requirements for completion of projects. • Define responsibilities, determine number and type of personnel to be assigned to each activity. • Follow progress, compare accomplishments with schedules, and make changes to ensure timely completion. • Compare costs with estimates. • Evaluate performance of subordinates. • Prepare reports. • Handle disciplinary problems. • Represent the department in contacts with professional organizations, private concerns, and governmental agencies regarding departmental activities. • Bachelor’s degree in Public Administration, Business Administration, or a curriculum closely related to the major activity of the employing department. • Five years of increasingly responsible work experience supervising and coordinating general business activities (preferably in the employing department) and two years of experience supervising technical and clerical employees. Evaluation Plan • Interview: 70% • Evaluation of Training, Experience & Personal Qualifications: 30% • Total of Interview and Evaluation T.E.P: 100% Additional points may be awarded for: • Veteran Points: 0 – 15 points • Detroit Residency Credit: 15 point LRD 07/16/2026 KNOWLEDGE, SKILLS, AND ABILITIES Advanced knowledge of administrative concepts, principles, and practices sufficient to perform independently and comprehensive knowledge of the policies and views on all significant matters affecting the Government: • Customer Service – must have excellent customer service skills. • Communication - effective verbal and written communication skills at all levels of the organization; essential for the many roles you may fill. • Passion - must be self-motivated, have initiative, and have a positive personality. • Change Leadership - demonstrated performance as a change agent in the past; ability to deal well with changes and setbacks. • Program Specialties - specific experience in law related fields is required, i.e. courts, law firms. • Use of personal computers, telephone systems, fax machines and other standard office equipment • Use of Microsoft Office (e.g. Word, Excel, Access, PowerPoint) and other office or financial suite software packages • Adapting policies or procedures to emergency situations and establishing practices or procedures to meet new situations • Recognizing how and when certain policies, procedures, or guidelines will be confusing to others • Communicating effectively in writing as appropriate for the needs of the audience • Understand written sentences and paragraphs in work-related documents • Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times • Talking to others to convey information effectively • Managing one's own time and the time of others ABILITY TO: • Effectively speak, write, read, and understand the English language • Follow written and oral directions • Read and comprehend relevant documents • Process and integrate simple data • Hear at a conversational level • Establish and maintain effective working relationships with both external and internal contacts • Work as part of a team TECHNICAL SKILLS: • Microsoft Office • Familiarity with Smartsheet (preferred) PHYSICAL DEMANDS • The work is characterized as sedentary. • Typically, Administrative Assistants sit comfortably to do their work, interspersed by brief periods of walking, standing, bending, carrying of papers and books, and extended periods requiring the use of computer terminals to accomplish work objectives. • Some work may require walking and standing in conjunction with travel to and attendance at meetings and conferences away from the worksite. WORK ENVIRONMENT • Work is performed in a comfortable office environment, which is appropriately lighted, heated, and cooled. • The work environment contains no significant hazards.
