We are seeking an exceptional Practice Assistant who thrives in a fast-paced, high-touch healthcare environment and is passionate about delivering an elevated patient experience. This is a hybrid remote-to-onsite role supporting both clinical operations and concierge patient coordination within our orthopedic spine practice as we grow as a company. About the Role The Practice Assistant serves as a critical member of the POSH patient experience team by supporting physicians, leadership, and patients through both administrative and clinical coordination responsibilities. This individual will help ensure seamless patient journeys, exceptional communication, operational excellence, and premium concierge-level service. The ideal candidate understands that every patient interaction reflects the POSH brand experience and approaches their work with professionalism, warmth, discretion, and attention to detail. Key Responsibilities Patient Experience & Coordination • Deliver a white-glove concierge patient experience from initial contact through follow-up care • Coordinate appointments, referrals, imaging, procedures, and provider schedules • Serve as a primary communication liaison between patients, providers, attorneys, referral partners, and clinical staff • Support high-touch concierge communication including phone, email, text, and EMR correspondence • Assist with patient intake, onboarding, insurance verification, scheduling, and documentation Clinical & Administrative Support • Support providers with daily clinic workflow and patient coordination • Maintain accurate and confidential patient records within the EMR system • Assist with procedure scheduling and treatment coordination • Ensure exam rooms, supplies, and administrative workflows are organized and efficient • Respond to patient and provider requests promptly and professionally • Assist with medical records management and documentation requests Operational & Brand Support • Uphold the elevated POSH luxury healthcare standard in all interactions • Support practice growth initiatives, referral coordination, and patient retention efforts • Participate in process improvement and operational development initiatives • Maintain HIPAA compliance and protect patient confidentiality at all times • Support remote administrative workflows while maintaining strong onsite presence and accountability Ideal Candidate Profile We are looking for someone who: • Naturally creates exceptional experiences for patients and visitors • Is polished, professional, and emotionally intelligent • Thrives in both independent and collaborative work environments • Is highly organized with strong multitasking ability • Takes initiative and ownership without needing constant direction • Communicates confidently and compassionately • Is adaptable within a rapidly growing healthcare organization • Has a hospitality-minded approach to patient care • Appreciates luxury branding, concierge service, and elevated presentation standards Preferred Qualifications • 1–3+ years of experience in: • Medical office administration • Orthopedic, spine, surgical, concierge, or specialty healthcare settings • Personal injury or out-of-network healthcare environments (preferred) • Experience with EMR/EHR systems (EclinicalWorks is a plus) • Strong communication and customer service skills • Ability to work effectively in both remote and onsite settings • Proficiency with scheduling software, EClinical Works, Google Workspace, and digital communication tools • Familiarity with insurance verification, referrals, and medical terminology preferred • Bilingual (English/Spanish) is a plus Education & Experience • Associate degree or higher preferred • Medical Assistant certification is a plus, but not required • Healthcare administration or concierge medical experience strongly preferred Compensation & Benefits Based on comparable Houston-area orthopedic and specialty medical assistant positions, competitive compensation for this role is estimated at: • $20–$24/hour • Approximate annual equivalent: • $42,000–$49,920+ annually • Higher compensation may be available for candidates with: • Orthopedic/spine background • Personal injury coordination experience • Surgical scheduling expertise • Bilingual capabilities • Familiarity with insurance verification Potential benefits may include: • Hybrid flexibility • Professional growth opportunities • Leadership development • Premium healthcare environment • Performance incentives • Paid time off • Continuing education support Why Join POSH?
